Isaacson, Miller (IM), a national executive search firm dedicated to recruiting exceptional leaders for mission-driven organizations, seeks a part time (twenty hours per week) contract administrator to join our operations team.  The private firm, based in Boston with offices in Washington, D.C. and San Francisco, has 140 employees. IM had $20 million in revenue in 2013.  


Reporting to the chief financial officer and working closely with all levels of staff, the contract administrator is responsible for preparing and recording all client and vendor contracts and related legal documents as well as assisting with other compliance matters. The position calls for a detailed-oriented and self-motivated individual with exceptional communication skills and a strong customer-service orientation. The hours are flexible and it is anticipated that the majority of the role may be performed within an at-home office environment.

Currently, the work of the contract administrator is allocated among many individuals in the firm. This is a newly created position and the successful candidate will play a vital role in shaping the position and streamlining the process. It is expected that the position will require twenty hours of time per week over a five-day period. Today, contracts are prepared by team administrators and reviewed by the chief financial officer for adherence to master contracts, previously negotiated client terms, and standard IM terms. The contracts administrator will take over the role of working directly with vice presidents and principals to prepare the contracts and will deliver them to the client for their review and signature. The administrator will also handle all in house paperwork required to process the search internally. The contract volume is approximately two hundred fifty per year. The contract administrator will leverage his/her expertise to assist with other legal matters as needed.  


Specific challenges for the contract administrator include:


Preparation of all search contracts


·       Work directly with the firm’s vice presidents and principals to prepare and deliver contracts in adherence to proper terms

·       work directly with chief financial officer to negotiate variances from standard terms

·       Prepare all in house paperwork required to launch each search

·       Follow up with clients regarding contract status

·       Coordinate delivery of certificates of insurance with outside agent as needed

·       Verify that specific terms of contract are adhered to including any specific reporting requirements


Assist with responses to RFP’s


·       Assist the marketing coordinator with any contract language included in rfp responses

·       Review requirements specified in an rfp to ensure IM is in compliance

·       Assist with the preparation of responses for master agreements


Oversee master agreements


·        Maintain compliance with all agreements

·        Track specific contract requirements

·        Renew as needed


Other legal assistance


As time permits assist with the following matters


·       Preparation of materials for board meetings including meeting minutes and board filings

·       Filing of annual reports

·       Immigration filing and records maintenance


The Ideal Candidate

The position calls for a seasoned professional with at least 3 - 5 years of contract experience, preferably in the non-profit sector or professional services industry.  A CP, CLA or JD is required.

  • An engaging personality and keen sense of curiosity; the capacity to build rapport with people at all levels of an organization;
  • Demonstrated ability to work independently and exercise sound judgment and discretion;
  • Honesty, openness, and a healthy sense of humor.
